Check the collecting body and the charge

A payment for one department is not evidence of payment to another collecting body. Confirm the invoice, the intended recipient and the fee description before resolving the enquiry. Similar amounts can belong to different charges.

Where a payment remains unresolved, explain what is being checked and which team is handling it. A clear next step is more useful than asking the student to keep sending the same receipt.

Close the enquiry with a clear answer

Once the record has been checked, tell the student what was confirmed and where they can find the relevant transaction. If further action is required, describe it plainly.

Review recurring questions after a collection period. If many students are confused by the same fee name or instruction, improve that wording before the next collection. Good payment support begins before the first complaint reaches the team.
