Describe the fault where it happened
A maintenance request should identify the property, location and affected asset where relevant. “The generator needs checking” may be enough in a small building; across several properties, it can send a technician to the wrong place.
Virtuo Facility supports properties, locations, assets and work orders. That structure helps put a reported problem in context before someone is assigned to investigate it.

Keep responsibility visible
A work order should make it clear who is handling the task and what stage it has reached. Creating the record does not mean the work is scheduled, and assigning it does not mean it is complete.
Agree how the team records a visit that cannot resolve the issue immediately. A missing part, unavailable contractor or need for further inspection should lead to a clear next step rather than a task that silently stays open.
Close the record carefully
Before marking work complete, record what was done and check that the person reviewing the task has enough information. A useful record helps when the same asset develops another problem.
Review overdue work separately from completed work. The first tells you what needs attention now; the second helps you understand what has already been handled. Keeping both legible makes a maintenance review more useful.
